1. Who we are
Crestfield Surveys ("Crestfield", "we", "us") is a UK-based property survey coordination service. We help buyers, homeowners, investors, brokers and estate agents identify the right survey for a property and arrange it through our network of independent qualified surveyors.
Crestfield Surveys is not, in itself, an RICS-regulated surveying firm unless expressly stated in writing. Survey reports are produced by the instructed independent surveyor, who is solely responsible for the report and any opinions in it.
2. How enquiry coordination works
You submit an enquiry through our website, WhatsApp, phone or email.
We review the property details (postcode, type, intended use, urgency) to identify the most suitable survey level (Level 2, Level 3, Valuation, Land/Plot or specialist).
We share the relevant details with one or more vetted independent surveyors who can quote and carry out the work.
You receive a quote and, if you proceed, the surveyor is instructed and is the contracting party for the survey itself.
Crestfield may earn a coordination or referral fee from the surveyor. This does not affect the price you pay.
3. What personal data we collect
When you enquire we typically collect:
Your name and contact details (phone, email, WhatsApp number).
Communication history (messages, calls, WhatsApp threads) for quality and continuity.
Basic technical data (IP address, device, pages viewed) for site security and analytics.
4. How we use your data
To respond to your enquiry and arrange a survey quote.
To share relevant details with the independent surveyor we instruct on your enquiry.
To improve the service, train staff and resolve disputes.
To comply with legal, accounting and regulatory obligations.
We do not sell your data. We do not add you to unrelated marketing lists. We do not share your details with multiple competing surveyors at once unless you ask us to obtain comparison quotes.
5. Who we share data with
Independent surveyors instructed on your behalf.
Service providers who help us run the business (hosting, email, CRM, communications). These act as data processors under contract.
Brokers, agents or solicitors involved in your transaction, only where you have asked us to coordinate with them.
Authorities where required by law or to prevent fraud.
6. Lawful basis & retention
We process your data on the basis of consent (when you submit an enquiry), legitimate interest (running and improving the coordination service) and legal obligation (tax, accounting, regulatory).
Enquiry and instruction records are typically retained for up to 6 years to meet professional, insurance and tax obligations. After that, records are deleted or anonymised.
7. Your rights
Under UK GDPR you have the right to:
Access the personal data we hold about you.
Have inaccurate data corrected.
Request deletion where there is no overriding legal reason to keep it.
Object to or restrict processing.
Withdraw consent at any time.
Complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Quotes provided are indicative and subject to confirmation by the instructed surveyor following access and inspection scope.
The contract for the survey is between you and the independent surveyor. Crestfield is not a party to that contract and is not liable for the survey report's content.

You agree not to misuse the site, submit fraudulent enquiries, or impersonate another person.
9. Bookings, payments & refunds
No refunds once a booking is confirmed.
Once you confirm and we instruct the surveyor on your behalf, the booking is final and non-refundable — that is it.
A booking is "confirmed" when you accept the quote in writing (email, WhatsApp or signed form) and/or pay the booking fee or survey fee.
From the moment of confirmation, the surveyor's slot is reserved, administrative work begins and third-party costs are committed on your behalf.
No refunds will be issued after confirmation, including (but not limited to) where the sale falls through, you change your mind, the vendor withdraws, access is denied, or the property is taken off the market.
Rescheduling may be possible at the surveyor's discretion and may incur an additional fee.
Before confirmation, you may withdraw your enquiry at any time at no cost.
Nothing in this clause affects your statutory rights under UK consumer law where they apply.
10. Cookies & analytics
We use a minimal set of cookies and similar technologies for essential site function and basic analytics. We do not use advertising trackers. You can block cookies in your browser settings without losing core functionality.
11. Changes to this policy
We may update this policy as our service evolves. The "Last updated" date at the top reflects the latest revision. Material changes will be highlighted on the homepage.
